WIA Data Privacy Notice

Women in Architecture UK (WIA) are committed to protecting and respecting your privacy. For any personal data you provide for the purposes of your membership or programs, WIA is the Data Controller and is responsible for storing and otherwise processing that data in a fair, lawful, secure and transparent way.

What personal data we hold on you

You may give us information about you by filling in forms, survey, at an event or online, or by corresponding with us by phone, e-mail or otherwise. The information you give us may include your name, e-mail address, phone number, and information about your career motivations, expectations and learning if embarking on a mentoring programme.

WIA use SquareSpace Analytics to collect potentially personally identifying data and information. The purpose for the collection of this potentially identifying data is to identify trends in the usage of the website; these trends may be analysed for internal use.

Why we need your personal data

The reason we need your contact data and, if you are an applicant or participant, information about your career motivations, expectations and learning, is to be able to administer your engagement with WIA and, in the case of mentors and participants, deliver the programme you are signing up to, or when you join our community. Our lawful basis for processing your personal data is that we have a contractual obligation to you as a member of the community or program to provide the services you are registering for.

Reasons we need to process your data include:

For mentor/mentee matching  

  • sharing personal data with potential mentors/mentees to connect.

  • Sharing personal data with the mentoring lead and WIA committee to match participants and run the program.

For impact evaluation purposes

  • sending surveys to understand and improve your experience as a community member

  • analysing anonymised data to evaluate programme impact; and

  • demonstrating impact to funders and partners through anonymised data.

For programme and event management  

  • processing of application forms and payments;

  • sharing data with community members to connect cohorts or manage social events;

WIA has the following social media pages: Twitter, LinkedIn , Instagram, Facebook. All community members are free to join these pages. If you join one of the Social Media pages, please note that provider of the social media platform(s) have their own privacy policies and that WIA do not accept any responsibility or liability for these policies.  Please check these policies before you submit any personal data on the WIA social media pages.

Disclosure of Data

We may disclose your personal information to third parties:

  • Where they are working in partnership with WIA to deliver a program to our members.

  • Are under a duty to disclose or share your personal data in order to comply with any legal obligation, or in order to enforce or apply our terms of use and other agreements; or to protect the rights, property, or safety of WIA, our customers, or others. This includes exchanging information with other companies and organisations for the purposes of fraud protection and credit risk reduction.

  • WIA data processing requires use of cloud hosting.  When you fill in WIA forms on our Google Drive it is stored securely Google data centers. Data is encrypted in-transit and at-rest.

How long we hold your personal data

We will hold your personal data on file for as long as you are an opted-in member of our newsletter, community or program. Any personal data we hold on you will be securely destroyed after four years of inactivity against your record. Your data is not processed for any further purposes other than those detailed in this policy.

Your rights regarding your personal data

As a data subject you may have the right at any time to request access to, rectification or erasure of your personal data; to restrict or object to certain kinds of processing of your personal data, including direct marketing; to the portability of your personal data and to complain to the UK’s data protection supervisory authority, the Information Commissioner’s Office about the processing of your personal data.

As a data subject you are not obliged to share your personal data with WIA. If you choose not to share your personal data with us we may not be able to register or administer your participation.

Your Legal Rights

Under data protection laws you have rights in relation to your personal data that include the right to request access, correction, erasure, restriction, transfer, to object to processing, to portability of data and (where the lawful ground of processing is consent) to withdraw consent.

We try to respond to all legitimate requests within one month. Occasionally it may take us longer than a month if your request is particularly complex or you have made a number of requests. In this case, we will notify you.

If you are not happy with any aspect of how we collect and use your data, you have the right to complain to the Information Commissioner’s Office (ICO), the UK supervisory authority for data protection issues (www.ico.org.uk). We should be grateful if you would contact us first if you do have a complaint so that we can try to resolve it for you.
